Refund policy
We understand that things can happen in the run up to events, and so our booking partners Let's Do This offer a refund protection option at checkout. This costs a few £ per race, but you are then covered if you should need to cancel. Unfortunately we cannot offer refunds for any circumstance unless this protection has been purchased at checkout. The event organisers take on services as soon as someone books. This includes safety cover, marshalls, chip timing, swim hats etc, that cannot be recouped. Sometimes we can offer a free transfer onto another race that year - but this will not always be the case.
In the event that the organisers need to cancel the event for any reason, we will refund as much as we possibly can for the swimmers. We will take the total amount of cost the event has incurred and take this off the refunds. For instance if the race made £1000 for 100 entrants, all paying £10. The race up to that point cost £800 to organise, each swimmer be refunded £9.20.
Please get in touch as soon as possible, the more time we have to resolve issues, the likelier a good outcome for both sides.

Open Water Swimming is a dangerous sport and anyone participating in the event will do so entirely at their own risk and will not hold the organisers, sponsors or anyone else involved in or with the organisation of the event responsible for any accident, injury to self or others, loss or damage of property or any other incident related to the event. By entering Open Water Events you are agreeing to these terms and conditions and you are agreeing to be personally responsible for all your own property and are declaring that you are fit for the event and are of suitable health and well being with no known medical conditions that could effect your ability to participate safely and without risk to self and other competitors.
The registration and swim elements will be held in public places, so athletes should give due consideration to other users. The event organiser and refereeing official’s decision is final. The race organisers and officials, at their own discretion, retain the right to stop any athlete during any point of the event due to concerns over their own health or safety.
Cancellation is extremely unlikely and the organisers will take all precautions to avoid it, but should cancellation occur for reasons out of the organisers control, then competitors will be notified at the time will receive a partial refund where available.Should part of the course be unavailable for safety reason or reason out of the organisers control, then the organisers reserve the right to adjust the distances, route or to cancel any element of the race.The organiser also retains the right to change the race date for any reasons outside of their control.
Confidentiality and usage of competitor details - After the event Open Water Events, reserve the right to publish a list of times and results, and will include Position, Name, Club, Sex and Age-group and any details pertinent to a penalty or DNF. Open Water Events and any of its media partners reserve the right to use any images taken of competitors before, during and after the race for use in publicity material and media publications. A photographic partner company will be employed on race day, and this company will retain the right to distribute any images captured during the event as it sees fit. With the exception of any declared medical conditions (which will be supplied to the event first aid and medical partners only), all other private data supplied in the entry form to the event and by participants in any other format will be used solely for the purpose of the event and will not be supplied to any parties outside of the Open Water Events group or partnering companies on the event.
